Key Responsibilities:
• Customer Complaint Management (Email & Phone):
o Serve as the primary point of contact for all complaints regarding the company, whether received via email, phone, or in person.
o Respond promptly and professionally to all complaints. You'll acknowledge receipt within 24 hours and clearly outline the steps we'll take to address their concerns.
o Act as the liaison between property owners and relevant departments (e.g., maintenance, security, management) to investigate issues and find effective solutions.
o Keep property owners informed of their complaint's progress until a satisfactory resolution is achieved.
o Maintain a detailed and organized log of all complaints, resolutions, and follow-up actions for reporting purposes.
o Craft clear, empathetic, and professional email replies to customers regarding their complaints, ensuring clarity and a commitment to resolution.
• Social Media Engagement & Response:
o Actively monitor and manage all company’s social media platforms (e.g., Facebook, Instagram, Line Official Account).
o Respond to all comments, direct messages, and inquiries on social media in a timely and professional manner, always adhering to our brand's friendly and helpful tone.
o Address public complaints or negative feedback on social media constructively. Your goal will be to acknowledge their concern publicly and then move the conversation offline to resolve the issue privately and efficiently.
o Escalate any complex or sensitive social media inquiries directly to the management team.
o Assist in scheduling and posting important updates, community announcements, and engaging promotional content on our social channels.
o Keep an eye on social media trends and resident engagement to provide valuable insights to management.
• General Administrative Support:
o Manage and maintain all office records, crucial documents, and databases.
o Handle all incoming calls and correspondence, directing them to the appropriate department or individual.
o Assist with scheduling appointments and internal meetings.
o Prepare reports, presentations, and other necessary documents.
o Coordinate with residents for various inquiries and provide general administrative support.
o Ensure the administrative office is well-stocked with supplies and operates smoothly.
o Assist with billing and payment processing tasks.
o Provide comprehensive administrative support to the management team as needed.
Qualifications:
• Proven experience in an administrative role, with a strong background in customer service.
• Exceptional written and verbal communication skills in both Thai and English are absolutely essential. You'll be crafting sensitive emails and public social media replies, so clarity and empathy are key.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Strong organizational skills and the ability to manage your time effectively, even when juggling multiple tasks.
• A keen eye for detail and high accuracy in all your work.
• A calm, empathetic, and professional demeanor, especially when handling challenging customer interactions.
• The ability to work both independently and collaboratively as part of a team.
• Familiarity with common social media platforms and basic content management.
