Administration Manager – Melbourne
We are seeking a highly organised and detail-oriented Administration Manager to oversee and coordinate all administrative functions within a dynamic hospitality business.
This is a key role responsible for ensuring smooth day-to-day operations across compliance, HR administration, financial coordination, and executive support.
Key Responsibilities
Operations & Vendor Coordination
• Coordinate with vendors for business setup, registrations, and credit accounts
• Ensure invoices are processed and paid in a timely manner
• Support bookkeeping processes and maintain accurate financial documentation
Compliance & Licensing
• Manage all business permits and licenses (including food and alcohol service)
• Liaise with government authorities to ensure full regulatory compliance
• Track and manage renewal deadlines and compliance requirements
Human Resources Administration
• Oversee employee documentation including contracts and records
• Coordinate recruitment processes and interview scheduling
• Manage staff leave records (annual, sick, public holidays)
• Maintain accurate and up-to-date employee files
Payroll & Financial Support
• Assist in payroll coordination and ensure confidentiality of salary information
• Support service charge allocation processes
• Ensure proper documentation and filing of financial records
Executive & Personal Support
• Assist ownership with administrative tasks including visas, permits, and documentation
• Manage deadlines related to work permits and compliance
• Support travel arrangements and related logistics
General Administration
• Maintain organised filing systems across all documentation
• Ensure office supplies and administrative systems are well managed
• Support meetings, reporting, and cross-department coordination
About You
Experience:
• 4–6 years in an administrative or office management role
Core Skills:
• Excellent organisational and multitasking ability
• Strong attention to detail
• Clear communication skills (English + local language preferred)
• Proficiency in Microsoft Office / Google Suite
• Understanding of compliance, licensing, and regulatory processes
• Ability to work under pressure in a fast-paced environment
Desirable:
• Experience in hospitality or similar industry
• Exposure to HR processes (payroll, hiring, leave management)
• Experience working with government agencies
