The Phuket Hotels Association is dedicated to promoting the island as a quality destination for international travelers from all walks of life.
Today, the Phuket Hotels Association has over 94 members comprising small boutique hotels to large international chains who have joined together to promote the island as Brand Phuket, to raise money to educate local Phuket residents though the association’s scholarship fund, and also assist and educate with the environmental best practices to reduce any harmful impact that tourism has on the island.
ตำแหน่ง : Events Executive
The Events Executive is responsible for organising excellent, smooth meetings, activities, and events from concept through to logistics. You will be responsible for every aspect of an event, from choosing venues to evaluating success afterwards, and for liaising with suppliers and meeting planners.
The Events Executive is supervised by the Executive Director. The Events Executive will provide logistics, organisation, and office support for events and activities for the working groups and the association. Events Executive support includes creating communications, managing and maintaining databases of events and activities, and other projects as assigned.
Reporting:
The Events Executive reports to the Executive Director and takes advice from and works closely with our Committee members.
Key Responsibilities:
Events Executive responsibilities include, but are not limited to:
-- Being the person in charge of all events
-- Managing annual events, activities, programs, and meetings calendar
-- Coordinate and help arrange Events/Activities /Meetings on a regular basis and ad hoc as needed, whether in-person or virtual
-- Managing website updates, Social Media posts
-- Attending all meetings in preparation for events/activities
-- Be the point of contact for all liaisons for hotel members when it comes to daily communications arrangements on events/activities
-- Understand the requirements for each event
-- Plan an event with attention to financial and time constraints
-- Book/sorted venues and schedule speakers
-- Research vendors (catering, decorators, musicians, etc.) and choose the best combination of quality and cost
-- Negotiate with vendors to achieve the most favourable terms
-- Manage all event operations (preparing the venue, invitations, etc.)
-- Do final checks on the day of the event (e.g. tables, technology) to ensure everything meets standards
-- Oversee event happenings and act quickly to resolve problems
-- Evaluate the event’s success and submit reports
-- Assisting and coordinating workshops and training programs for on-going training for our hotel members through partnerships or collaborations
-- Attending the environment, education and marketing working group meetings and regular Association meetings.
-- Other Phuket Hotels Association’s duties as directed.
Qualifications and skills
-- Excellent communication skills in both Thai and English
-- Proven experience as an event coordinator
-- A proven track record of organising successful events
-- Proficient in MS Office
-- Excellent vendor management skills
-- Outstanding negotiation skills
-- Well-organised with strong multitasking skills
-- Able to handle stress and remain calm
-- Strong problem-solving skills
-- A degree in hospitality management, public relations, or a relevant field is preferred
